Privacy Statement

The Freedom of Information Management System Website is operated in compliance with the South Australian Government?s Information Privacy Principles (IPPs), a copy of which can be obtained at: http://www.archives.sa.gov.au/services/public/privacy_index.html. These principles are based on national and international privacy standards. They apply to personal information of natural persons, not corporate bodies.

Purpose of the System

The information collected is used to aid agencies in processing and managing FOI applications in accordance with freedom of information legislative requirements. Security is in place so that data input by an agency can only be accessed by registered users of that same agency. There is no data-sharing between agencies.

The main means by which the Freedom of Information Management System Website collects information from applicants is by agency users submitting information via an application wizard and responding to the workflow process prompts provided.

Responsibility of System Administrator

The System Administrator, on behalf of the Minister for Administrative and Information Services, is able to extract statistical information in regard to FOI applications across agencies. The System Administrator is unable to access application detail in regard to FOI applications requesting personal information. Application detail from non-personal applications is accessible by the System Administrator for reporting purposes. Measures are in place to ensure that these reports are de-identified, thus complying with IPPs 7-10 regarding use and disclosure of personal information.

Responsibility of Agency Users

You should note that there are inherent risks associated with transmission of information via the Internet. You should make your own assessment of the potential risks to the security of your information when making a decision as to whether or not you should use the Freedom of Information Management System Website to register, process and report on freedom of information applications.

Agency users should be aware that when recording applicants? personal details, such as name, address and scope of application, you should ensure as far as possible that the information is accurate, complete, relevant and does not give a misleading impression in accordance with the Freedom of Information Act 1991.

For the purposes of the Freedom of Information Act 1991, the information stored in this system is ?held? by the agency that submitted the information.

The Freedom of Information Management System Website, like most other websites, collects the following information from users:

  1. A record of your visit and logs the following information for statistical purposes - the user?s Internet Protocol address, the date and time of the visit to the site, the pages accessed and documents downloaded, the previous site visited and the type of browser used. No attempt will be made to identify users or their browsing activities except, in the unlikely event of an investigation, where a law enforcement agency may exercise a warrant to inspect our service provider?s logs. This information is analysed at the end of each month to determine the site?s usage statistics.
  2. The Freedom of Information Management System Website requires all users, who wish to process and manage FOI applications on behalf of an agency, to be registered on the Freedom of Information Management System Website before access to the system is permitted. Authorisation from the appropriate Agency Administrator as well as personal contact information is required for all registered Freedom of Information Management System Website users. We collect this information so that privacy and security policies can be enforced. /li>
